Bibliography and Footnote Suggestions
California State Archives 

  1. When publishing or reproducing documents or photographs from the California State Archives' records groups, the following caption is appropriate:

    • (Agency name or records group, if known)
    • California State Archives
    • Sacramento, California

  2. In listing archival items in a bibliography, indicate first the country, state, county, city, etc.; second, the department or main division of the government; third, further subdivisions as necessary; fourth, identification of them; and fifth, depository.

    • Example: California. Governor. Gov. John Bigler to Assembly, May, 17, 1853. MS Messages received from Governor. Legislative Papers, LP2:828. California State Archives, Sacramento, California

  3. The order of a footnote citation for archival materials includes first, the particular item (identify the name or title, type and date); second, series; third, record group; and fourth, depository.

    • Example: Gov. John Bigler to Assembly, May, 17, 1853. Messages received from Governor. Legislative Papers, LP2:828, California State Archives, Sacramento, California

    • Example: Abstract of Vote, Colusa County, November 6, 1972, Elections RG, California State Archives, Sacramento, California

Publishers and editors differ in their standards for bibliographic and footnote citations. The elements identified above appear in most bibliographic and footnote guides, but the exact format any given publisher or editor requires may vary from the examples.
